When you use the platform, Apollo acts as a processor for the business data you upload (contracts, shipments, counterparty records) and as controller for your account and usage data.
2. What we collect and why
- Account data (name, email, phone, company, role), to create and secure your account and deliver the service. Legal basis: contract.
- Business data (contracts, shipments, documents, positions you upload), processed on your organization's behalf to run the platform. Legal basis: contract with your organization.
- Usage and technical data (logs, IP, browser, feature usage, AI interactions), to operate, secure and improve the service. Legal basis: legitimate interest.
- Communications (support messages, marketing emails), to respond and keep you informed. Legal basis: contract or consent.
We do not sell your data, ever.
3. AI features and third-party processing
Apollo includes AI assistant features (chat, voice dictation, document and photo analysis). When you use them, the content you submit is sent to a third-party AI provider that processes it on our behalf and returns a result.
- What is sent. The messages, voice recordings, documents and images you submit to the assistant, together with the account and business data needed to answer you (such as your positions, contracts, shipments and quality records).
- Who it is sent to. Anthropic PBC (provider of the "Claude" AI service), San Francisco, California, United States. Anthropic acts strictly as our processor under a data processing agreement and provides protections equivalent to those described in this policy.
- How it is used. Solely to generate the assistant's response to your request. Voice recordings are transcribed to text by an automated speech service for the same purpose. Your data is never used to train AI models.
- Your permission and control. AI features run only when you choose to use them, and only after you have agreed to this data sharing in the app. You can stop using them at any time and request deletion of your AI interactions by emailing contact@apollonegoce.com.
Legal basis: performance of our contract with your organization and your consent.
4. How long we keep it
- Business data: retained while your organization's contract is active. On termination, returned or deleted per your instructions.
- Records required by accounting and tax law: 10 years.
5. Your rights
Under GDPR you may at any time:
- Access the data we hold about you
- Correct it if inaccurate
- Request deletion
- Export it in a portable format
- Restrict or object to certain processing
- Withdraw consent where processing is based on it
To exercise any right, email contact@apollonegoce.com. We respond within 30 days. You also have the right to lodge a complaint with your local data protection authority (in France: CNIL, www.cnil.fr).
6. Cookies, security, changes
Cookies. We use essential cookies for authentication and a small number of analytics cookies (with consent). We do not use advertising or cross-site tracking cookies.
Security. Data is encrypted in transit (TLS) and at rest (AES-256). Each customer runs on an isolated database. Access is logged and controlled.
Changes. We may update this policy. Material changes will be notified by email. The date at the top reflects the latest version.
